Everything you spend on the camp has to be accounted for. Therefore, keep the receipt for every purchase. Every purchase has to be entered in the final account. Only this will give you a clear overview of all expenditures. It doesn’t take much to lose the overview and all of a sudden; your calculations do not check out anymore. And all that, just because a small docket is missing.

A cashbox, a loose-leaf binder for the documents and a 2 column cash book for the entry of all revenue and expenditure is recommended. Also, there should be only one person responsible for the accounting. This could be the camp leader or anyone else who has an interest in accounting. After all, after each camp, this person is accountable to the management or organisation regarding where and how the money was spent.
A clear statement is ultimately a good basis for the calculation for the next camp.
